It would be a waste not to use it! Leave the creation of meeting minutes to Google Meet's automatic notes.

  • column

It's been two months since I posted an article introducing a meeting minutes creation tool. This time, I'll be introducing a meeting minutes creation tool that uses AI, just like the last time.

To be honest, I didn't expect to switch tools so soon, even though I published the article a few months ago. The evolution of AI tools is truly remarkable!

"Tactiq," which we introduced last time, is a transcription tool that uses OpenAI and is provided as a Chrome extension. It is a groundbreaking tool that supports the creation of meeting minutes by utilizing AI summarization, task management, and more.

For more details, please see this article.

I knew I would be using Tactiq for a long time, so I immediately signed up for a paid plan, and just then, Google Meet's automatic transcription feature became available in Japanese. I tried it out to see what it was like, and in addition to the transcription accuracy exceeding my expectations, it even had an automatic summarization function, which left me with the impression that it was quite powerful.

Our company mainly uses Google Workspace, so it's a great fit. We thought it would be better to use this service than to pay for "Tactiq" separately, and decided to switch.

Benefits of Google Meet automatic notes

  1. No complicated settings required! Easy to use with just one click
When introducing a tool, it is common to enable the functions from the settings screen beforehand beforehand. Some of you may have had the experience of forgetting to set it up and then trying to use it only to find that the functions were not enabled. No prior setup is required for Google Meet's automatic notes! From the moment you open Google Meet, it's ready when you need it.

  2. Highly accurate transcription
Because the conversation is transcribed verbatim, you can look back at how a decision was reached. When minutes of a meeting that lasts more than an hour are created by a person, there is inevitably a variation in accuracy. However, automatic notes created by AI can record everything to the end while maintaining a high level of accuracy.
(I may make typos occasionally, but please forgive me.)

  3. Summary based on timestamp
The automatic note-taking function transcribes the contents of a conversation, but in order to use it as meeting minutes, a summary function is essential. However, it is difficult to understand the content of an hour-long meeting if the summary is only a few lines long. This automatic note-taking function reads the transcribed content and generates an appropriate summary for each timestamp and section.

  4. Deciphering even technical terms
It also understands the meaning of technical terms that frequently appear during meetings, and complements and summarizes them in natural-sounding sentences.

How to use

  1. Start a meeting in Google Meet.
  2. Click the icon in the top right corner of the screen, check "Also transcribe meetings," and click the "Start taking notes" button.

That's it! It's really easy to use and doesn't require any special settings.

The screen remains almost unchanged while Auto Memo is running, so you won't have to worry about the screen getting hard to see or being unable to concentrate on the meeting because of the transcription. After the meeting is over, you can simply exit as usual. Gemini will then output the minutes in Google Docs.

You can also stop the automatic memo function midway through the meeting without waiting for the end of the meeting.

lastly

This time we introduced the automatic note-taking feature for Google Meet by Gemini. It comes equipped with the summary function necessary for creating meeting minutes as standard, and with almost no delay in transcription, it is an excellent tool. If you are using Google Workspace, you should definitely take advantage of it! Please take this opportunity to try it out. *This feature is only available to users with a specific plan. Please check the official website for details.

I'll be using my old partner, Tactiq, for meetings on Zoom, Teams, and Webex.
